A Reusable Checklist that is available to be work on will be one that is on a white card with either a grey bar & clock icon (not started), yellow bar & clock icon (in progress), or green bar & clock icon (finished, but not marked as complete):
To complete a reusable checklist in the Mobile App, carry out the following:
- Open the list you want to complete:
- If you received a checklist tablet alert or reminder on the tablet, tap Start.
- In the Mobile App, tap the menu icon, then Checklist. The Checklist screen appears:
Each checklist card includes the following information:
- The Name of the checklist.
- The time during which the checklist is Available.
- Counts of Required items: how many have been Completed and how many exist, plus a count of how many Optional items have been completed.
- Locate the checklist you want to complete:
- If you have a large number of checklists that have been categorized, tap on the CATEGORIES tab, tap on the category containing the checklist you want to complete, and scroll through the list to find the checklist:
- You can refresh the lists at any time by tapping on the refresh icon located in the top right corner of the screen:
- If you have a large number of checklists that have been categorized, tap on the CATEGORIES tab, tap on the category containing the checklist you want to complete, and scroll through the list to find the checklist:
- Tap on the card of the checklist you want to complete:
- If the card you tapped on is for a checklist where the Start Time has not been reached, an error message appears:
Tap OK and choose another checklist with a white card.
- If the card you tapped on is for a checklist where the End Time has already been reached, an error message appears:
Tap OK and choose another checklist with a white card.
- If the checklist requires a digital probe, a series if messages will appear (for more information, see Checklists Requiring Digital Probes).
After selecting an available checklist, the list of items to be completed for the checklist appears:
- To return to the list of checklists, tap the back icon in the upper left corner of the screen:
Any information you have entered will be synced with the ComplianceMate server before the list of checklists appears.
- If the list is In Progress (yellow bar on card) or Complete (green bar on card), the responses previously entered will appear on the cards of each list item:
- A required checklist item has a red asterisk to the right of the item description.
- If a response was previously entered, it will appear on the right side of the item card with the time when the value was entered.
- A checklist item that has not been completed will have a gray bar and clock icon.
- A checklist item that has been completed with a response that is in compliance will have a green bar with checkmark icon.
- A checklist item that has been completed with a response that is not in compliance will have a red bar with an "X" icon.
- If the card you tapped on is for a checklist where the Start Time has not been reached, an error message appears:
- Tap on the first item you want to complete. The appropriate form appears for collecting information:
- If values have not been entered for the item, the fields will be blank.
- If values have been entered for the item, the Recorded Entry appears at the top of the form and the fields will be blank so you can enter a new response.
- To return to the list of items for the checklist, tap the back icon in the upper left corner of the screen:
- Before you respond to the item, determine the following:
- If the N/A button appears at the bottom of the screen and responding to the item is not required (no red asterisk *), you can skip the item by tapping on the button:
An error message appears if you are not allowed to skip responding to the item. Tap OK and respond to the item.
- If the comments button (pencil icon) appears at the bottom of the screen and you want to enter comments along with your response, tap the button, enter text in the field that appears, and tap SUBMIT (for more information, see To add Comments or Images to a Checklist Item):
- If the images button (camera icon) appears at the bottom of the screen and you want to add an image along with your response, tap the button, take the picture, and tap OK (for more information, see To add Comments or Images to a Checklist Item):
- If the N/A button appears at the bottom of the screen and responding to the item is not required (no red asterisk *), you can skip the item by tapping on the button:
- Enter a response for the checklist item:
- For Text, Numeric, and Manual Temperature items:
- Tap in the green field.
- Enter a value.
- For Numeric and Manual Temperature items, a Valid range is noted.
- Values outside of this range will trigger a corrective action.
- Tap SUBMIT.
- For a Yes/No entry, tap the appropriate response – YES or NO.
- If the response is not in compliance, a corrective action will be triggered.
- For Multiple Choice entry, tap on the appropriate response.
- For Digital Probe items, take the temperature with a probe.
- For Digital Probe items, a Valid range is noted.
- Values outside of this range will trigger a corrective action.
- For Image items:
- Tap the image button (camera icon) at the bottom left corner of the screen:
- Take a picture with the tablet:
- If the image is acceptable, tap OK.
- If the image is not acceptable, tap RETRY and take another picture.
- Tap the save button at the bottom right corner of the screen.
- Tap the image button (camera icon) at the bottom left corner of the screen:
- For Signature items, use your finger or stylus to sign you name and tap SUBMIT.

- For Text, Numeric, and Manual Temperature items:
- Tap the SUBMIT button.
Your response, comments, and images are saved for the item.
- If your response is valid, the checklist will proceed as follows:
- If there are additional items on the list to be completed, the form for the next item on the checklist appears.
- If the item you just completed is the last item on the list, the list of checklist items appears:
- If your response is not valid and a Corrective Action has been setup through the Server App for the checklist item, you will need to complete the corrective action see To add Corrective Actions to a Checklist Item).
- If your response is valid, the checklist will proceed as follows:
- Repeat steps 4 through 7 to complete the checklist.
- When you have finished all items on the checklist and have returned to the list items screen, tap COMPLETE in the upper righthand corner.
- Until you mark the checklist as complete, you cannot use it again.
- Once you have marked it as complete, the Checklist screen appears and the card for the checklist is updated to indicate that it can be used again:
