Your Landing Page at Sign In
When you sign into the Server App, you will land on the Dashboard of the group or location where you user account is exists:
- If you land on a Group Dashboard, the information you see is from all locations in the group that you are authorized to access.
This is group is your now active workspace and any work you do in that group will flow down to its child groups and locations.
From here, you can navigate down the branch to any available child groups or locations.
- If you land on a Location Dashboard, the information you see is only for that location.
This location is your now active workspace and any work you do in that location only impacts that location.
If you land on a specific location when signing in, you cannot not navigate to any other groups or locations.
Moving Down the Branch
If you landed on a group after signing it, it means that you have access to one or more child groups or locations located further down the branch. This also means that you can change your active workspace to be one of these other groups or locations, rather than the one you landed on.
In the following example, you landed on the NEGA group after signing in. This is the group where your account is located. This can be confirmed by viewing the navigation bar at the top of the screen:
- NEGA is at the end of the path.
- If you click on GA, or any other group name to the left of NEGA, you will see that nothing happens -- meaning you can't access those groups, and NEGA remains the active workspace at the end of the path.
To move down the path:
- Click Organization > Groups. The page that appears lists the child groups or locations of your active workspace, in this case, the child groups of NEGA:
- To continue moving down the path, click on one of the names, in this case, Athens. This becomes the new active workspace. The navigation bar is updated to add the new active workspace at the end of the path and the Organization page is updated to show the child groups or locations, in this case, the locations in the Athens group:
- Continue down the path until you reach one of the following:
- An empty group:
- A location:
- An empty group:
Moving Up the Branch
Moving up a branch is less complicated than moving down, as it is all done through the navigation bar:
- In the navigation bar, click on the parent name (i.e., Athens) located immediately to the left of the active workspace name (i.e., AGA02: Eastside Eatery):
The screen refreshes for the group (i.e., Athens) and makes it your active workspace:
- To continue up the path, click on the parent name (i.e., NEGA) located immediately to the left of the active workspace name (i.e., Athens) in the navigation bar:
The screen refreshes for the group (i.e., NEGA) and makes it your active workspace:
- Continue until one of the following occurs:
- Clicking a parent does not change the active workspace.
- You reach Corporate.
Note: You do not need to move up the navigation bar one parent at a time. You can skip parents and jump to the one you want to make active.
Using the Search Field on the Menu Bar
There is a search field on the menu bar that let's you search for a location without going through the navigation bar and Organization page:
Enter two or more characters in the field, and results will be displayed:
The more characters you enter, the more specific the results become.
When you see the location you want to access, tap on that entry in the list, and the Dashboard for that location appears. That location is now your active workspace.
Note: This search field is also used for finding user accounts, so you may see user names mixed in with location names.
Understanding Organization Structure and Active Workspaces
This diagram shows three different organization structures:
2-Tier
This structure has a corporate level, a group level, and a location level.
- If your user account is set up the Corporate group (i.e., in 2-Tier Corp), that is your default active workspace when you sign in.
- You can change your active workspace to any of the child groups or locations.
- If your user account is setup in a group (e.g., West Group), that is your default active workspace when you sign in.
- You can change your active workspace to any of the group's child locations.
- You cannot change your active workspace to another group (e.g., East Group), or any of its child locations.
- If your user account is setup in a location, that location is your active workspace when you sign in.
- You cannot change your workspace to any other group or location..
3-Tier
This structure has a corporate level, multiple group levels, and a location level.
- You can change your active workspace to any of the group's child groups (e.g., Group NW) or locations.
- You cannot change your active workspace to another group (e.g., East Group), or any of its child groups or locations.
- If your user account is setup in a location, that location is your active workspace when you sign in.
- You cannot change your workspace to any other group or location.
Mixed Tier
A mixed tier structure means that some branches are Corporate > Group > Locations (e.g., USA West and USA East), while other branches are Corporate > multiple Groups > Locations (e.g., Intl Group).
Every organization has at least one group level under the Corporate level. This is because every organization structure includes a Deleted group under the Corporate group. When you delete a group or location, it is actually moved to the Deleted group. You can view the data in a deleted group or location, but you cannot add to it. You Also cannot add a new group or location to the Deleted group. And because the first level under Corporate already contains groups, you can never have locations directly under the Corporate level (you can't have groups and locations as direct children of a group).
What about the Mobile App?
The ability to change the active workspace is not applicable in the Mobile App for the following reasons:
- A tablet is registered with a specific location, so there is no option for changing the location from within the Mobile App.
- Tablets can only be registered with a location, not a group.
The only way to change the active location in the Mobile App is to register the tablet with a different location, which is possible using the tablet registration process (for more information, see Registering a Tablet with a Location).
