Receiving Products with TrackAssure

Receiving Products into TrackAssure by Scanning a Barcode

To receive products into TrackAssure by scanning a barcode in the Mobile App, carry out the following:

  1. If the Receiving screen is not already active, tap the Receiving icon at the bottom of the page:

    The Receiving screen appears with a list of recent entries:

    • If no entries have been received, the screen appears as follows:

  2. Tap +New receiving. The Select supplier screen appears:

  3. Locate the supplier you are receiving products from, and tap on their name. A screen with recent receivings from that supplier appears:

    • If no products have been received from the supplier, the screen appears as follows:

    • If you can't find the supplier you need, contact your Location Admin, as they will need to manually add the supplier to TrackAssure through the Web app (see Managing TrackAssure Suppliers and Products).
  4. Tap Scan Barcode. The Scan Product screen appears:

  5. Position the barcode from the product within the frame:

    The barcode is automatically scanned.

    • If the product is found, the the Product details screen appears with data from the product record for the supplier:

    • If the product was not found, an error message appears:

    • Tap OK. The Scan product screen appears. Tap the Add manually link located beneath the frame to manually receive the product (see Receiving Products into TrackAssure using Manual Entry).
  6. Tap in the Expiration date field, choose the date when the product expires, and tap Done:

  7. Tap in the LOT code field and use the keyboard to enter the LOT code for the product:

    • Alternately, you can tap the Auto generate link below the LOT code field to have TrackAsssure automatically generate a unique LOT code for the product.
  8. When finished, tap Add. The Receiving screen appears with the new product added:

    The entry includes the following information:

    • The Supplier name
    • The Product name
    • The LOT code
    • The Expiration date

    You can tap on the card to view all details about the product:

Receiving Products into TrackAssure using Manual Entry

To receive products into TrackAssure by scanning a barcode in the Mobile App, carry out the following:

  1. If the Receiving screen is not already active, tap the Receiving icon at the bottom of the page:

    The Receiving screen appears with a list of recent entries:

    • If no entries have been received, the screen appears as follows:

  2. Tap +New receiving. The Select supplier screen appears:

  3. Locate the supplier you are receiving products from, and tap on their name. A screen with recent receivings from that supplier appears:

    • If no products have been received from the supplier, the screen appears as follows:

    • If you can't find the supplier you need, contact your Location Admin, as they will need to manually add the supplier to TrackAssure through the Web app (see Managing TrackAssure Suppliers and Products).
  4. Tap Manually. The Add manually screen appears:

  5. In the Product name / GTIN field, enter the name of the product you are receiving or its GTIN. A list of products matching the criteria appears:

  6. Tap on the product you are receiving and then tap Add. The Add manually screen appears with the product fields populated with information from the product list of the supplier:

    • If the product you are receiving is not on the list, contact your Location Admin as they will need to add the product to the list of the supplier using the TrackAssure Web app (see Managing TrackAssure Suppliers and Products).
  7. Tap in the Expiration date field, choose the date when the product expires, and tap Done:

  8. Tap in the LOT code field and use the keyboard to enter the LOT code for the product:
